The Academic Advising Specialist provides support and assistance to the Assistant Dean of Educational Support Services (ESS) for the management of the College's Academic Advising department and system. Duties include scheduling advisors for walk-in advising at all campuses, tracking required advising by full-time faculty, facilitating the curriculum advising process, processing payroll, planning, coordinating, implementing and evaluating training and other departmental initiatives, coordinating daily departmental operations and serving as supervisor for the department when the Assistant Dean of ESS is not available.
Specific Responsibilities (Essential Job Functions)
- Assist with planning, coordinating, implementing, and evaluating academic advising initiatives. * Collaborate with Dean, Assistant Dean, Department Chairs, and Faculty regarding initiatives, strategies, activities, staffing and scheduling. * Schedule advisors for all campuses; maintain records and database. * Prepare weekly payroll for approval from the Assistant Dean; submits payroll for processing. * Assist in supervision of daily department operations and serve as lead administrator when the Assistant Dean is not available. * Generate and maintain correspondence to faculty and students. * Assist with the development of advising workshops and training materials. * Schedule and facilitate Professional Development events and maintain records. * Prepare reports and monitors student usage of advising services. * Work various schedules, including weekends as needed. * Participate in meetings and serve on committees. * Deliver quality customer services to both internal and external constituents in a professional, helpful and courteous manner. * Adhere to FERPA regulations as they pertain to maintaining the security and confidentiality of all student records, as well as maintain the confidentiality of other documents on behalf of the work area and the College. * Other duties as assigned.
Bachelor's degree required. Any and all degree(s) must be from a regionally accredited institution of higher learning. Excellent administrative and organizational skills required. Ability to meet deadlines and manage multiple and changing priorities in a fast paced environment. Excellent verbal and written communication skills required. Ability to work both independently as well as collaboratively is required. Demonstrated proficiency using Microsoft Word, Excel and Access required. Demonstrated ability to exercise good judgment and decision-making. Ability to maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty and staff of varying social, economic, cultural, ideological and ethnic background required.
Two (2) years work experience in academic advising preferred. Experience utilizing an enterprise-wide information system required; Banner preferred. Experience in scheduling, payroll and maintaining a database preferred.
