Prospective Responsibilities

This full-time position will mainly require the employee to serve as Academic Records Processor. However, all ISA employees are expected to demonstrate a willingness to take on new responsibilities and projects as deemed necessary by ISA Management.

1. Academic Records Processor responsibilities and tasks include but are not limited to the following:

a. Work primarily under the supervision of ISA’s Director of Academic Records to assist with the management and continuing development of all systems related to the accurate and efficient handling of transcripts earned by ISA students participating in ISA programs

b. Review accuracy of transcripts received at the ISA Austin office

c. Evaluate foreign transcripts and enter academic data in highly confidential academic records database.

d. Occasionally serve as the liaison between students’ home universities and the foreign universities or ISA resident directors.

e. Occasionally serve as point of contact for ISA participants, their parents and/or home universities with regards to a participants’ academic record

f. Provide assistance to ISA participants who wish to appeal grades received at the host institution.

g. Handle tasks related to the processing of Additional Transcript Requests (ATRF’s) as necessary

h. Update internal course database as necessary

i. Work with academic advisors and academic credential evaluators at participants’ home universities to resolve problems related to credit transfer

j. Participate in the continuous review and improvement of various policies and protocols related to ISA’s academic records including: grade contestation policies, requirement and verification of participant’s enrollment policies related to placements exams, policies related to situations of academic tension policies related to the processes of the handling of academic records

k. Assist the maintenance of the ISA Academic Guide to serve as a constant reliable resource for the academic community (text and documents)

l. Assist Program Managers with the updating of ISA forms and materials containing information on transcripts, credit transfer,enrollment requirements, etc.

m. Update the Institutional Contacts Database as necessary

n. Assist Site Specialists in updating ISA forms and documents containing information on transcripts, credit transfer, enrollment requirements, etc.

o. Assist in answering the phone calls and e-mails messages from ISA program applicants, prospective applicants, parents, etc.

2. General study abroad advising at the ISA office: Responsibilities would include:

a. Assist answering phone calls and e-mails messages from ISA program applicants, prospective applicants, parents, etc.

b. Assist walk-in traffic at the ISA office

3. Handle additional administrative duties and special projects, to be assigned at the ISA Office in Austin, as needed.
