(USI), a nationwide leader in the construction services industry has an opportunity available for an experienced Accounting Assistant at our Professional Insulators of South Florida branch in Boynton Beach, FL. Position Overview

The Accounting Assistant is primarily responsible for providing administrative and general office support to the branch. The Accounting Assistant will also perform basic accounts payable transactions.

Essential Functions

1. General Office/Administrative

Answer, respond to and direct all telephone calls.

Welcome and greet all visitors; identify their needs and direct them to the appropriate person.

Order Insurance Certificates as requested.

Obtain customer invoice approvals as required.

Monitor and visit builder websites to acquire appropriate workflow documents such as purchase orders, scheduling, etc.

As needed, work directly with homeowners and production builders on Warranty and Service scheduling

Maintain electronic filing system.

Coordinate special events as requested.

Other duties as assigned.

2. Accounts Payable

Process accurate payments of vendor invoices according to branch’s daily and weekly standards

Reconcile vendor statements and ensure all invoices are paid according to terms

Ensure proper coding to general ledger accounts and job costs

Ensure accurate and organized record keeping for timely research

Maintain accurate records and control reports

Assist with monthly/year-end reconciliations and accruals

Research and resolve AP issues with vendors

Identify inefficient and ineffective practices and procedures and correct; identify root causes of AP-related issues

Required Skills

High school diploma or GED equivalent; Associate’s degree preferred

Minimum two (2) years previous Accounts Payable experience; demonstrated capability with the full AP cycle of activities

Minimum one (1) year previous receptionist/administrative experience

Professional appearance and courteous demeanor; upbeat, outgoing attitude.

Excellent interpersonal communication skills; service oriented

Strong written and oral communication skills

Proficient knowledge of the entire Microsoft Office Suite, especially Microsoft Word and Excel

Typing/keyboard skills of 45 wpm, minimum

Proven organizational skills

Ability to prioritize multiple tasks, meeting required deadlines

Self-directed, takes initiative in seeking efficiencies of processes; follow-through on implementation

Demonstrated analytical skills and problem solving skills

Demonstrated attention to detail and accuracy

Ability to interact with technically diverse groups

Customer service oriented; ability to develop and maintain cooperative working relationships

Bilingual in English and Spanish preferred, but not required.
