Job Summary

The Accounting Specialist is responsible for payables and receivables including generating customer invoices, processing customer payments and accounts payable checks and generating sales commission and bonus reports.

Minimum Qualifications

Minimum associate’s degree in Accounting or related field is preferred

3-5 years of general accounting experience preferred

Required Knowledge, Skills and Abilities

Strong data entry and computer skills are required

Experience with accounting software including proficiency in Quickbooks

Experience with Microsoft Office with advanced knowledge in Excel required

Prior knowledge of, or ability to learn, industry specific software, including Magazine Manager

Knowledge of general accounting principles

Strong research and analytical skills

Excellent communication, customer service and organizational skills

Strong attention to detail

Visual and hearing acuity

Excellent time management skills with ability to multi-task and deal effectively with time pressures

Ability to perform job responsibilities in a timely manner with minimal supervision

Initiative on identifying and addressing process improvement opportunities

Flexibility in performing tasks outside of basic responsibilities

Relationship to Other Positions (Organizational Structure)

Reports directly to the Vice President of Finance

Essential Job Functions

Generating customer invoices

Processing customer check, credit card and ACH payments

Preparing and processing daily bank deposit

Processing refunds and returned checks

Processing and mailing late payment notices and collection letters

Contacting customers regarding delinquent payments

Maintaining accurate accounts receivable records with status of collections

Working with customers and/or account executives to answer invoice, payment and general account inquiries

Researching customer concerns/disputes and providing backup documentation when required

Generating bonus and commission reports and resolving discrepancies identified by sales representatives

Performing ad-hoc reporting and analysis as needed

Preparing monthly audits of papers and reconciling discrepancies by making necessary billing or payment adjustments

Acting as a backup on answering phones when needed

Performing other administrative support duties as requested
