Provide administrative support and coordinate university, student, or special programs, activities, or services; supervise support staff. Assist in budget preparation, monitor expenses and evaluate budget variances. Prepare financial reports. Hire, train, direct, supervise and evaluate performance of student assistants, program staff, volunteers, and contractual employees hired for special events. Determine staffing needs. Design and prepare promotional material for programs/events. Act as a liaison for the program or activity with local media, outside groups, University staff, and the community. Manage various supply, equipment, and building operations; write specifications, negotiate contracts; operate and maintain equipment. Data and records will be maintained to document financial, planning, correspondence and other information necessary to reflect program activities.
Key Functions and Expected Performances:
Program, Activities Coordination and Planning
Primary person in charge of answering calls on HELPline and emails
Will need to assess, clarify & determine needs of each caller
Based on needs identified, provide caller with community resources, agency services, & disability information needed
Must be able to problem solve & think creatively as resources are limited
Write up assessment summary & plan for each caller in Call Sheet records
Supervisor of call center operations on a daily basis
Ensures phone coverage-answering and/or securing backup for HELPline
Supervises & assists with training student(s) answering
Information & Referral calls
Is a community resource for staff seeking specific information
Responsible for follow-up survey activities as part of program evaluation
Request monthly call sheet report from VKC tech department
Training student/volunteer to do follow-up survey of callers to determine Pathfinder usefulness & gather demographic information needed by VKC
Handle scheduling and registration details for program events, compose letters, maintain files, prepare reports using computer-based information systems; Write specifications and negotiate contracts; Manage various supply, equipment, and building operations.
Procurement of/contracting for services, supplies and equipment will be done in accordance with University Purchasing policies and guidelines.
Suppliers will be monitored to ensure delivery of supplies and services in accordance with orders/contracts. Problems will be reported when commitments are not met by suppliers.
University resources will be inventoried, protected and maintained.
Data and records will be created and maintained to document financial, planning, correspondence and other information necessary to reflect program activities.

Staff will be recruited, hired, oriented and trained in accordance with University policy.
Annual evaluations will be conducted for all staff.
Staffing plans will be developed; staffing levels will be reflective of current or anticipated workload.
Marketing and Communication
Design and prepare promotional material for programs/events; contact local media. Act as a liaison for the program or activity with University faculty and staff, outside groups, and the community.
Required marketing, promotions and communication will be identified in the planning for programs, activities and services.
Marketing, promotion and communications will be conducted timely and effectively in accordance with the plans.
All communication will be professional, and reflect positively on the program and University.
This is a full-time position (40 hours per week).
This position is mostly Monday – Friday and the hours will be finalized once candidate has been identified.
$2,340/month - $2,833.33/month is the salary range for the position.
