Albany College of Pharmacy and Health Sciences invites applications for the full-time position of Administrative Assistant in the Division of Campus Life. The administrative assistant shall assume major responsibilities in performing a wide variety of highly responsible administrative tasks and confidential work associated with the Division of Campus Life, which includes providing direct support to the areas of student activities, residence life, counseling and wellness, athletics and global initiatives. The administrative assistant will serve as the initial contact for the office and will have frequent contact with students, faculty, and staff. Responsibilities include front desk reception including multi-line phone and greeting visitors, department mail, scheduling and coordinating meetings, coordinating travel arrangements, producing and distributing correspondence, supervising work study students as well as other administrative responsibilities as assigned. The successful candidate will have the ability to manage multiple tasks and priorities and prior experience maintaining a high level of confidentiality.

Bachelor’s degree and 3-5 years of increasingly responsible secretarial and/or clerical experience including administrative or executive secretary experience; or Associate’s degree and 5-7 years of increasingly responsible secretarial and/or clerical experience including administrative or executive secretary experience required. Qualified candidates must have the ability to communicate clearly and concisely demonstrating tact, patience, and courtesy both orally and in writing; sensitivity to and understanding of the diverse academic, socioeconomic, cultural, ethnic, and disability backgrounds of college students and employees; ability to work independently with little direction and work confidentially with discretion; proficiency in Microsoft Office Suite (including Word, Excel, Access, and Outlook), Adobe, and internet searches.
