Job Description Richard Bland College (RBC) of the College of William & Mary in Virginia is seeking a part-time Administrative Assistant for the on-campus Director of Property Management. The purpose of this position is to manage administrative and financial functions in support of Property Management operations. Primary responsibilities include executive administrative-level support to the Director including complex spread sheets; calendar management; handling phone calls and messaging; greeting visitors; organization of divisional and group meetings including agenda and logistics management; preparation and/or revision of presentation materials; procurement, shipping and receiving, mail handling; tagging and assisting in fixed asset management ability to multitask across multiple divisions and coordination of various committee meetings and materials in conjunction with the Property Management department. This position reports directly to the Director of Property Management and regularly handles sensitive matters and requires maintaining strict confidentiality and discretion. Additional responsibilities include:
- oversight of departmental correspondence including drafting, editing and proofreading
- assisting the Director with the development of departmental policies and procedures
- serving as liaison with various departments on campus as well as external contacts, and providing financial support including procurement card and purchase order administration, employee reimbursement processing, Banner report generation, and budget preparation/monitoring for the Director's subordinate departments as requested
- This position also provides special project work to support the efforts of the Director of Property Management as needed.
- Knowledge of procurement policies and procedures as well strong Microsoft Office skills
Minimum Qualifications RBC seeks a person with a blend of experience and credentials appropriate to the position.
Work requires significant knowledge of College policies, procedures, and organization of the division. Skills required of the successful candidate include: exceptional verbal and written communication skills; strong analytical, organizational, and problem-solving skills; demonstrated ability working with financial and business processes in a fast-paced environment with deadlines, ability to pay close attention to details; and specialized office skills including expert use of Microsoft office programs.
Preferred Qualifications Preferred candidates will have at least five years of progressively responsible administrative and office management experience, as well as experience working in higher education and with Banner Financials. Candidates with substantial background in accounting for the Virginia system of higher education are particularly encouraged to apply. Knowledge and experience in the Property Management, Housing and Facilities fields.
