The Flight Operations Administrative Assistant will provide support to the Flight Operations Department in areas to include on boarding, recordkeeping, training documentation, etc. This position will also serve the reception area of the Fleet Building where s/he will meet and greet visitors & interviewees at our company headquarters, and provide additional administrative to support to the Flight Ops Department and Company President.

  • Reception
    • Meet and greet people that visit our corporate headquarters
    • Answer calls that come in to our Hyannis location; varying from transferring calls to our internal employees, to providing support with customer service calls
    • Order supplies, prepare FedEx Shipments, distribute internal mail & COMAT
    • Order catering items as needed for Board meetings or other events
    • Handle petty cash requests
  • Provide support to the Flight Operations Team:
    • Data entry into Crew Quals system
    • Recordkeeping
    • Other administrative tasks
  • Provide support to the Flight Training Department:
    • Data entry into Crew Quals system
    • Recordkeeping
    • Other administrative tasks
  • Submit Status Change Forms on behalf of Flight Department (Base Changes, Relocations, Pay Increases, Training Titles, Etc.)

  • Post bids and schedules to .ORG website

  • Manage Flight Ops pages of .ORG website

  • Manage Flight Ops forms & their internal revisions

  • Submit pilot hours to HR for payroll processing

  • New-Hire on-boarding:
    • Coordinate DATP enrollment with Manager of Operations Services
    • Process PRIA/pilot background check requests with Manager of Operations Services
    • Coordinate new hire pilot ground school
  • B.S. Degree in Aviation, strongly preferred
  • Strong computer skills: experience with Microsoft Office and a strong proficiency in Excel, required
  • Must be extremely organized with sharp attention to detail, have a strong work ethic, and possess a willingness and ability to learn
  • Must work well in a fast paced office environment, be a team player and be able to multitask
  • Must possess excellent customer service and communication skills, both written and oral
  • Must exhibit exceptional knowledge of Cape Air and must embody the Cape Air MOCHA HAGoTDI spirit
  • Applicants with an aviation background will be strongly preferred
