The administrative assistant supports the Graduate Studies Program and the Director of Graduate Studies in all aspects of administrative and operational functions. Such support entails responding to all incoming program inquiries via telephone, email, mail or walk-in; preparing and organizing materials for mailings (both print and email), maintaining the Director’s calendar; supporting program staff, including Program Directors, faculty, and students; arranging appointments, meetings, and special functions.

Strong organizational and public relations skills are required. Must possess knowledge of Microsoft Office Suite, word processing (including merge and table functions), organizing and scheduling, presentation and spreadsheet software. Must also have excellent telephone communication, customer service and human realtions skills and must be comfortable dealing with students, faculty, administrative staff, alumni/ae, community leaders, and the general pubic. This position also requires maintaining a high degree of confidentiality and the ability to anticipate and react appropriately to changing situations under pressure. Must have keen attention to detail and accuracy, as well as demonstrated ability to function appropriately without close supervision.

A bachelor’s degree and college or university experience (or any combination of education, training, office, or administrative experience that provides the knowledge, skills and abilities required by the position) are strongly preferred.

Full-time/full-year position (35 hours per week), level 12. Starting salary is $16.79/hour or more, depending on qualifications and experience.
