Provide administrative and operational support to three Directors in the areas of employee relations, training and development, diversity and affirmative action. Also supports other HR service areas in promoting a client centered Human Resources structure and organizational culture.
General understanding of business operations, typically acquired through the completion of a high school education or its equivalent is required. An Associate’s or Bachelor’s degree is strongly preferred.
Two years administrative/office management experience is necessary, preferably within a Human Resources office.
Solid computer skills with knowledge of Microsoft Office Suite are required. Knowledge of Banner and Crystal Reports is strongly preferred.
The ability to communicate accurately and pleasantly with clients (across a wide diversity of cultural backgrounds) is necessary in order to identify client needs and solve problems.
The ability to communicate moderately to highly complex policies, procedures, and regulations and to ensure understanding of these while working under pressure (e.g. handling several requests at the same time) is required.
Other Desired Qualifications
Perform routine administrative tasks including: mailing and correspondence distribution, scheduling meetings, room confirmations and set up, coordinating office activities, and maintaining the calendars of three directors, as well as other HR staff. Coordinate and schedule appointments with EEO /AA complainants.
Update, revise, and coordinate the printing and distribution of staff collective bargaining agreements.
Provide functional supervision and coordination of duties and work flow for graduate assistants and direct supervision of student employees. Also serves as the back-up supervision to students working the front desk.
Receive and record data, documents and other pertinent information related to assigned departmental units such as, logging grievances, disciplinary actions and completing the employee relations monthly report.
Works collaboratively with all union groups.
Maintain and reconcile assigned departmental budgets.
Maintain knowledge of administrative procedures and process vendor payments, direct pay, professional memberships, purchase card orders, and requisitions.
Respond to customer inquiries, and complaints, and provides consistent problem solving either by phone or face to face to faculty, staff, students, outside agencies, and the public; including obtaining and providing routine information about HR related policies and procedures.
Coordinates office moves (i.e. phone set up, computer set up and office set up), as well as setting up offices and services for new hires in assigned areas.
Process web time entry payroll information for HR staff, GA’s and Students as well as, PAF paperwork for graduate assistant/student hires.
Review and recommend expenditures for materials, equipment, support staff, and travel. Processes travel expenses for departmental travel to obtain timely reimbursement of personal funds. Purchase materials and equipment for HR functional areas as required i.e. training supplies, food and water, materials for special events, and specialized supplies.
Assist in the development, of departmental unit administrative procedures.
Assist with the coordination and support of Training and Organizational Development events including Lunch and Learn activities, training sessions, retreats, and special events. Conducts the employee relations segment of onboarding and assists with onboarding setup. Serves as the Chair of the OP Day annual event and coordinates all the logistics around the event. Attends and contributes to the quarterly Michigan Training and Development Roundtable.
Develops, administers, and tracks surveys related to HR events, activities and programs.
Co-chairs the annual employee service recognition event and actively participates on a number of university committees including the teacher fair and wellness program.
Coordinates and leads the logistics for designated departmental interviews to fill open positions. Prepares packets, schedules all stages of the interviews, organizes and communicates with committees and serves as part of the interview process for designated areas.
Coordinate the use of facilities, services, and equipment.
Perform related departmental duties, as required.
Work is performed in a typical office environment.
