Administrative Assistant to FMT

Primary function is to provide administrative support for the Finance Management Team, and work with other administrative staff to provide coverage for the senior management they support.

FMT Support:
Maintain calendars and coordinate meetings.

Provide phone coverage.

Assist with travel arrangements.

Complete and file expense reports in Concur.

Distribute daily mail

Maintain vacation requests/ time taken analysis for FMT in the Resource Planner system.

Manage the ordering of office supplies, technology items and other purchasing for the Finance team via Office Depot.

Manage administration of files - perform weekly filing of documents, correspondence, etc.

Provide production support for memoranda, presentations, and correspondence.

Provide support to the Executive Assistant and the individuals she supports as requested.

Copy, fax and distribute documents as requested.

Address Ad-hoc errands as requested.

Ensure appropriate support coverage for periods of absence.

Job Qualification / Requirements

Minimum 2 years previous experience preferably in support of a similar business.

Detail oriented, high degree of accuracy in all duties.

Ability to think and operate beyond standard scope of responsibility, possess strong decision making skills, demonstrate independent judgment.

Ability to handle confidential information.

Highly organized and adept at time management.

Ability to excel in a stressful environment, properly prioritize and manage several competing initiatives / responsibilities while meeting firm deadlines.

Exceptional communication skills; ability to communicate openly with all levels of employees on a variety of matters both written and verbal.

Excellent computer skills including word processing and spreadsheet experience.

Comply with firm attendance requirements.
