Administrative Assistant (Temporary)
Gulf Power Materials Distribution Center
This temporary position provides overall administrative support to the Material Distribution Center Supervisor located at the General Warehouse. The position is responsible for ensuring that all daily administrative tasks for Southern Company applications Maximo, Energy Select and Investment Recovery requests are reviewed and completed according to set priorities.
(Education, Experience, Knowledge, Skills
Associates Degree is desired
At least 3 years experience in secretarial or similar administrative support.
Word, Excel, PowerPoint and Access required; computer experience in ERP systems, i.e. Maximo, SAP, Oracle or similar system preferred.
Knowledge, Skills and Abilities
Knowledge of warehousing and purchasing principles, practices, and procedures to perform efficient and effective administrative functions.
Attention to detail is essential

Strong communication and interpersonal skills

General administrative support including, but not limited to, keying documents, preparing reports, faxing, copying, answering phones, and maintaining files
The position is responsible for ensuring that all daily administrative tasks for Maximo, Energy Select and Investment Recovery requests are reviewed and completed according to set priorities.
This position must process requests and internal purchase orders in order to meet customer need dates. The position is also responsible for "cradle to grave" processing of appropriate documentation to meet compliance standards.
Resolve issues/ discrepancies with Purchase Orders.
Serve as a point of contact to personnel and suppliers in Buyer's absence
Create spread sheets as requested
Expedite purchase orders and deliveries as requested
Resolve invoice discrepancies
Working knowledge of Word and Excel and data entry
Understand / achieve Southern Company Supply Chain , organizational, and departmental goals, strategies and business plans
Ensure full compliance with Sarbanes-Oxley regulations and internal controls
Must currently live in the Pensacola FL area (preferred) or be willing to relocate at own expense. Relocation assistance is not available for this position.
Must be successful on the EEI Clerical Aptitude Test (SASS)
