PRIMARY DUTIES AND RESPONSIBILITIES
Incumbent will serve as an Administrative Assistant for Transport’s Service area Managers. The ideal candidate will possess strong verbal and written communication skills and Proficient in all software applications appropriate to job. Candidate will be the lead administrator of the Transport comprehensive skills database, which will include a skills assessment for all employees. Candidate will develop, implement and manage a comprehensive training plan for Transport Services personnel. Candidate will assist the managers in researching, and identifying, specific technical training courses. Candidate will track and report training status of personnel and scheduled training courses. Candidate will coordinate travel and expense reporting for the service area team as requested. Candidate will be expected to perform duties of a highly discretionary nature in a fast paced customer service oriented environment. Maturity when dealing with customers, both internal and external, the ability to multi-task, flexibility, and the ability to maintain confidentiality are necessary as well.
Duties and qualifications, identifying both essential and marginal duties:
Provide administrative support to team, and management
Schedule appointments, provide information to callers and take messages
Compose memos, transcribe notes, research and create presentations
Greet vendors, customers, job applicants and other visitors, and arrange for transportation services, when needed
Route incoming calls and place outgoing calls
Work to foster cooperation and coordination with others
Complete tasks on schedule with quality
Responsible for administration and maintenance of training plans
Run reports and provide metrics to management weekly, monthly or on an as needed basis
Assist with the implementation of the Transport training plan and associated operating procedures
Must be able to multi-task
Responsible for performing other duties as assigned
This position requires a HS and 2-4 years of experience or equivalent related work experience.
Proficient in all software applications appropriate to job (including but not limited to NJVC Travel Net, NJVC expense reporting).
Typical physical demands include: a high degree of manual dexterity to sufficiently perform computer functions on a keyboard, produce materials on a PC and operate basic office equipment, normal or corrected vision and hearing, extensive sitting, mobility sufficient to visit with departments or employees throughout NJVC.
TS/SCI is preferred, if not currently held, the ability to obtain is required.
