Coordinates a broad variety of administrative processes & activities in support of EMBA Student Affairs and Academic Affairs functions. This person will manage complex databases, calendars, and spreadsheets. The role entails assisting in effective communications for Student Affairs and Academic Affairs. This person will also be responsible for reviewing administrative work procedures and recommending on best practices and improvements for administrative tasks.
Creates &/or maintains complex spreadsheets &/or databases &/or reports, queries, charts, etc. in support of Student Affairs and Academic Affairs objectives.
Based on analysis, research, &/or knowledge of subject matter, professional field &/or topic, prepares & compiles correspondence, reports, etc.
Manages the implementation of department surveys such as Teacher Course Evaluations and student satisfaction surveys.
Assists in the planning and implementation of the EMBA academic calendar.
Assists in maintenance of website content ensuring ease & practicality of use for targeted audience & objective.
Gathers information regarding programs, events, etc.
Assists in creating, writing, and editing articles, newsletters, program summaries, etc. for website.
Assists in the administration of Student Affairs and Academic Affairs invoicing, reimbursements, &/or expense reports.
Creates & monitors budget statements as needed.
Verifies that charges are accurate & posted to the appropriate account.
Manages complex scheduling arrangements involving multiple parties & conferences, international travel, etc.
Sets-up & cancels meetings based on knowledge of subject & attendees.
Assists in the coordination of large scale &/or complex events, such as Graduation.
Ensures that logistics such as advertising, registration, speakers, international travel arrangements, venues, catering, technology, etc. have been completed.
Manages and updates department calendars as needed.
Recommends & implements administrative & procedural changes.
Screens & prioritizes incoming calls. Responds to inquiries & may provide basic interpretation of policies & procedures.
Represents the department, program or project with various levels of personnel both internally & externally, managing & facilitating confidential &/or critical information.
Responds to unanticipated & complex issues.
Intakes and tracks student feedback on the student experience.
Coordinates work of temporary/work-study students.
Performs other duties as assigned.
A high school diploma or its equivalent along with 5 years of administrative support experience is required.
Advanced knowledge of word processing, spreadsheet, email, and database software programs is required.
High degree of sensitivity and tact in communication to students, staff, and faculty.
Ability to perform well in a multi-task environment; demonstrated ability to troubleshoot, problem solve, prioritize, and meet deadlines on assignments.
Demonstrated ability to work collaboratively and effectively with other team members.
Strong ability to collaborate effectively with faculty and administrative staff members across Kellogg and to arrive at common solutions with a high degree of professionalism and tact; ability to influence team members by positive example of team building and team spirit.
Role-model customer service orientation and ability to calmly and effectively handle difficult situations involving students, faculty, and staff members.
