Administrative Assistant 4
Performs a variety of administrative tasks to support one or more senior managers. Duties include: using word processing to compose complex and/or confidential correspondence; balancing general ledger lines and/or expense accounts; researching general ledger issues; assisting with budgetary planning; compiling statistical data for financial planning; assisting, screening and/or selectively referring callers; handling complex and sensitive inquiries/call from external/internal sources. Provides support for larger projects managed by others. Acts as an information source on departmental/business unit policies and procedures. May work closely with both internal and external customers to meet their service needs. May be responsible for providing support to the business line staff in the areas of reporting, customer/business documentation, sales and service goals. May establish office procedures and controls. May coordinate all special events or office functions. May direct the work of others.
3+ years administrative support experience.
Previous experience building relationships with key stakeholders and attending meetings/conference calls with senior level management. Must be able to follow meeting content, take notes and capture meeting content using proper business context
Prior experience integrating documents from numerous sources into one large document for standard meeting presentations using Adobe Acrobat.
Compiles data and prepares reports and other documents for executive meetings
Attention to detail and ability to work independently with some autonomy on projects that are partnered with or on behalf of their manager.
Able to handle highly confidential information.
Ability to monitor e-mails; organize and communicate action items that have to be approved or responded to etc.
Experience reviewing and interpreting monthly financial charges and budget documents; assisting with budgetary planning.
Ability to coordinate with direct reports that are in multiple time zones and locations and work in a self directed environment.
Must have advanced knowledge of all Microsoft Office Suite products including Word, Excel, and Power Point.
Technical experience setting up and managing virtual meetings using tools such as WebX, Intercall, etc.; including synchronizing with speakers.
Wells Fargo Online Tools (i.e., Staff Management, Online Recruiting, SRs, Timecard and Expense management).
5+ consecutive years successfully providing support to a senior level executive in a large company environment.
