Provide administrative and clerical research support for the Office of Annual Giving and the Office of Government and Community Relations reporting directly to the Director of Annual Giving. Principle duties and responsibilities include:

The administrative assistant is responsible for greeting and directing visitors as well as routine administrative issues and answering inquiries concerning activities and operations of both the Office of Annual Giving and Office of Government and Community Relations

Provide clerical and administrative support for the planning and coordination of fundraising activities; administrative support for Reunion and Commencement, schedule appointments and maintain calendars; schedule, coordinate and facilitate meeting, facilities usage, events, and/or travel arrangements as required

Serve as an administrative liaison between the division and external constituencies; develop and maintain various databases and files related to University Advancement, fundraising campaigns, mailing lists, volunteer groups and elected officials at local, state and federal levels

File appropriate government lobbying filings internally and with the US Senate and House

The administrative assistant will perform other miscellaneous job related duties as assigned

Job Requirements

A high school diploma or equivalent is required; an associate degree in business is preferred. The administrative assistant must have three to five years related experience, preferably in an executive office setting. The ideal candidate for this position is a self-confident professional assistant who is at ease with all levels of university administration and with the university's principal constituents. The successful candidate must be organized, detail-oriented and proficient in Microsoft Office applications. An understanding of and commitment to John Carroll's Jesuit mission and identity is necessary. The administrative assistant must have the ability to work independently and as a team member, to multi-task and prioritize workload with minimum supervision, and to handle and maintain confidential information with discretion. Excellent people skills and the ability to problem solve is also required.
