Job Responsibilities

Under direct supervision of the DUI program Operations Manager and office supervisor, the Administrative Support Assistant is responsible for performing general office support duties in accordance with the State of California and San Diego County DUIP guidelines and SDSU/ DUIP Rules and Regulations: Receives active and prospective clients over the counter and answer questions; Reschedule clients for services as needed, schedule appointments; Impart accurate information about the DUIP policies and procedures; take messages and refers clients to appropriate staff person for services; Conducts intake interviews, prepare appropriate contract documents and pertinent information in case files for case management Performs duties as necessary in relation to pre and post orientation/enrollment of new clients; records education attendance and cashier; Other duties and responsibilites as assigned.

Minimum Qualifications

High school diploma or equivalent plus one-year of experience working in an office environment Experience using Word, Excel and basic computer programs

Required Knowledge, Skills, and Abilities

Ability to effectively communicate both orally and in writing Ability to display flexibility and handle multiple work priorities and frequent interruptions Ability to understand and follow the DUIP confidentiality requirements and procedures Ability to handle a broad range of interpersonal contact and handle highly sensitive and confidential documents and information Ability to effectively use Word, Excel and Outlook to create reports, memos and documents Knowledge of basic English grammar, spelling and punctuation Ability to understand standard office procedures Knowledge of standard office equipment such as a computer, copy, machine and fax machine Knowledge of basic phone etiquette and to use a multi-line phone Ability to work flexible work schedule (weekends, evenings) Interact effectively with co-workers Understand and follow posted work rules and procedures Ability to relate well to others within the DUIP Program environment Highly motivated self-starter with strong interpersonal skills Well organized, ability to meet deadlines, detail oriented; possess good judgment and common sense Demonstrate a high level of cross-cultural sensitivity
