  • Provide professional and administrative support to the Director and Assistant Director in the Care Management Programs department
  • Maintain physical and electronic files; initiate correspondence; generate letters and reports using Excel, Word and Access
  • Prepare spreadsheets and slides for presentation using Microsoft PowerPoint and/or Visio
  • Act as a liaison with other Benefit fund departments, unions, vendors, providers and community health agencies
  • Manage calendars, call-outs and schedules, arrange appointments, meetings, and conferences, as directed; take minutes at meetings, and transcribe materials as required
  • Manage staff attendance reports, time-off requests, and prepare bi-weekly time sheets for review and approval
  • Responsible for ordering office supplies and submitting departmental expenses through Oracle System
  • Research reference documents and provide full support to Benefit Medical Advisory Committee
  • Handles confidential information appropriately and adheres to HIPAA standards
  • Perform additional duties and projects as assigned by management
  • High School Diploma or GED required, college degree preferred; plus
  • Minimum two (2) years as an Administrative Assistant providing support to management required; experience in health insurance, benefits, and/or knowledge of medical terminology a plus
  • Intermediate skill level in Microsoft Excel, Outlook and Word required – able to create reports, formulas and maintain statistical data; knowledge of Access, Visio, Timekeeping, Benefits, or other Web Based Systems (ADP, V3, QNXT, Oracle)
  • Strong administrative and organizational skills; detail-oriented, and flexible
  • Critical thinking capabilities, strong verbal and written communication skills
  • Ability to establish and maintain effective working relationships with members, employees, Funds, providers, union, and other agencies; provide a positive service attitude
  • Ability to learn quickly, meet deadlines, multi-task, make sound judgments, and prioritize work assignments
  • Must be able to work independently and be a team player
  • Must meet performance standards including attendance and punctuality
