The City is seeking a well organized individual to perform responsible and challenging administrative support. This full-time position may be assigned to any City department (current vacancies exist in the Engineering & Transportation Department, and the Public Works Department); may work with minimal supervision. The individual will be responsible for providing outstanding customer service, assistance, and information to internal and external customers concerning City policies, procedures and programs; supporting department staff in performance of their duties; and preparing correspondence and reports using a networked personal computer.

Duties and Responsibilities:
Typical duties and responsibilities of this position may include, and are not limited to, the following:
Preparing routine financial and cost records and reports; making accurate mathematical computations and calculations in connection with the preparation of such reports;
Typing and preparing a variety of materials, including technical manuals, forms, reports, letters, payroll data, agendas, minutes, tables, mailing labels, permits and statements from rough draft copy;
Maintaining office supplies and equipment;
Scheduling meetings for departmental staff;
Disseminating information about City programs, policies and procedures, updating City’s website, and providing assistance to the public about City programs and services;
Preparing and processing payroll and related records with care and accuracy;
Assisting with the preparation of departmental budgets and monitoring of department expenditures;
Preparing for distribution large sheet documents and technical manuals including their sale and mailing;
Filing and archiving departmental records, including moving file boxes from office to storage;
Depending on assignment, occasionally lifting a 25-lb file box to a shoulder-high shelf; and
Performing other related administrative support duties as assigned.

Qualifications:
To be considered for this position, the ideal candidate will possess the experience, training, education, knowledge, skills, and abilities as stated below:
High school diploma, or certified equivalent (GED), and have at least two years of responsible administrative support work experience, preferably in a public agency;
Demonstrated skill in word-processing, mail merge, spreadsheet, email and electronic calendaring software applications (proficiency in Microsoft Office Suite 2007 in a Windows environment highly desired);
Outstanding customer service skills; attention to detail; accuracy; excellent written, proofreading and oral communication abilities, and the ability to respond to a multi-cultural public and City staff with courtesy, tact and diplomacy;
Thorough knowledge of modern office protocols and procedures, the ability to quickly learn and apply City and departmental procedures, and work with limited supervision; and
Ability to type at least 35 net words per minute (faster speeds highly desired). A typing certification, valid within twelve months of your application date, must be submitted with your application, verifying your ability to type at least 35 net words per minute (see supplemental questionnaire for detailed instructions regarding the required typing certificate).

The written test is scheduled for February 19, 2013 at 2:00 p.m. Interviews will be held on February 27 and 28 , if a second day of interviews is needed. These dates are firm dates, so please make sure that you will be available. No make-up dates will be offered.

The selected candidate will be subjected to a background investigation which will include, but not be limited to, a personal history assessment and criminal history check.

There is also a one-year probationary period which is an integral part of the selection process and is used to observe and evaluate the employee’s ability to effectively and responsibly perform the duties of the position.

In accordance with Federal law, the City of San Leandro will only hire individuals who are legally authorized to work in the United States. As a condition of employment, you will be required to present proof of your identity and eligibility for employment. Minors must also complete and submit a State of California Certificate of Age (Work Permit) prior to commencing employment .
