Provides administrative support to Director and leadership team.
Supports Employee Engagement activities and fosters an enjoyable work environment.
Daily and Monthly calendar maintenance of scheduled appointments and meetings
Coordinates and prepares materials for meetings and presentations (works easily in PowerPoint and Excel).
Composes correspondence, prepares reports and tracks and maintains department budget.
Reviews incoming emails to the Director and composes appropriate responses.
Tracks, maintains and prepares requested reports.
Daily Outlook maintenance for SDs & CDs Set up, accept, decline meeting, monitor and or responds to emails
Maintains general organization of the department common spaces.
Handles department invoicing process, coordinates procurement and accounts payable processes.
Coordinates travel and expense reports and reviews them for approval.
Manipulates data and prepares reports using spreadsheets and PowerPoint.
Process incoming and outgoing mail for the site.
Performs administrative functions such as filing, answering phone, copies, printing, perparing site communications, invoice coding, etc.
Primary back up support for divisions Leadership.
Supports pharmacy licensing requirements in compliance with PA Board of Pharmacy and State governance
Works on special projects assigned by Director
High school diploma or equivalent GED
3-5 years of secretarial or office administration work experience
Advanced skills in Microsoft Word, Excel and PowerPoint; Familiarity with the internet and email systems (Microsoft Outlook) required; Sharepoint a plus
Professionalism and Integrity are paramount
Strong organizational and time management skills required; Excellent written and oral communication skills essential for professional phone and personal contacts
Ability to work in a team environment.
Ability to interact with staff at all levels
Ability to keep sensitive information confidential is critical;
Knowledge of business operations and policies is helpful
