Job Summary:
Following the established procedures, provides administrative support to assigned members of the Investment Department in a value-added manner. Ensures timely and cost-effective completion of administrative details. This position is Monday through Friday from 9am- 5pm EST.

Principal Responsibilities:
  • Assists the investment professional to understand their business needs; works proactively to meet those needs while following department procedures and guidelines
  • Maintains an active awareness of companies and industries being followed by assigned investment personnel
  • Maintains an active awareness and understanding of all department systems and databases.
  • Performs a variety of administrative duties, which may be complex in nature, to assist managers and to ensure smooth and efficient department operations, including: prepares, prints and distributes reports and mail, screens and returns calls, maintains email and voicemail accounts; manages company earnings schedules and calendar; organizes office and files; provides reception coverage; schedules internal and external meetings and rooms: manages calendars; connects video and voice conferences; coordinates industry review meetings; sets-up and clears rooms, including meals.
  • Organizes travel for company visits, conferences and marketing trips, including: obtains flight options, confirms flights in a timely manner; arranges hotel accommodations; books trains and or car services; registers for conferences and arranges payment as required; faxes reports and provides other administrative assistance needed; processes expense in a timely manner.
  • Assists in specialized projects, which require knowledge or understanding of department operations.
  • Ensures external and internal communication, documents and materials are accurate and error free.
  • Performs additional duties as requested.
  • Qualifications:
  • Associates' Degree or equivalent secretarial experience.
  • Minimum of three years administrative experience or 1-3 years administrative support experience in the investment/financial services industry.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Outlook and Office: Word, Excel, Powerpoint, & Access.
  • Experience with travel and expense management, video conferencing equipment.
