Works directly with the Chairperson to ensure all office functions are managed effectively and efficiently. Coordinates tasks and schedules on a daily basis. Maintains Chairperson's calendar. Provides guidance and assistance to faculty and students. Provides front-desk/customer service assistance to patients and procedural assistance to the clinical staff to ensure smooth and efficient clinical operations. Position requires significant in-person and telephone interaction with patients, care providers, faculty, students and staff.

Required Qualifications

Bachelor's degree in business, public administration, education or related field; four years of relevant experience may be substituted for education. A minimum of five years administrative support experience, in one or more responsible positions in which independent judgment was exercised. Must have demonstrated excellence in: organizational skills; public relations; oral and written communications; effective management of multiple tasks; and proficiency in application software packages such as Microsoft Office. Must be able to adhere to confidentiality policies and HIPAA requirements.

Preferred Qualifications

Demonstrated ability to be innovative, self-starting and to recognize the appropriate levels at which these abilities should be exercised. Prior experience in a healthcare clinical environment and experience in patient Scheduling, Check In/Check Out, and Charge Journal management.

ASSIST/GUIDE STUDENTS: Assist with clinic questions/needs. Assist with student enrollment. Prepare all necessary student administrative paperwork (Do-All Forms, Change of Grade, Count Toward Degree). Provide information to Student Affairs Coordinator in the School of Allied Health for Graduation and Student Recognition Ceremony. Plans special events such as Reception for Graduates and other social events.

CLINICAL SUPPORT: Schedules hearing and speech evaluations. Independently administers the patient registration, obtains and verifies insurance benefits to ensure payment and prepares necessary billing paperwork. Responsible for the collection and maintenance of money collected until deposited. Independently composes letters and correspondence to referring physicians and insurance companies. Determines action approval or routing of in-coming requests (telephone or mail) with a level of sufficient detail to maintain sound business practices. Maintains confidential patient files in compliance with local policies and HIPAA.
