The Executive Assistant contributes to the profitability of the company by providing executive administrative support to the team, assisting in daily departmental functions.

Essential Duties and Responsibilities
  • Provide primary administrative assistance to multiple managers
  • Prepare for departmental meetings by requesting and setting up conference rooms and coordinating lunches for meetings
  • Schedule all requests using CRM software including summaries for meetings
  • Ensure weekly update are sent to all participants for meetings
  • Ensure all phone lists of staff is current and updated
  • Maintain and report all company travel bonus accounts to VP of Product Deployment and Support for payment
  • Add Club visit charges and reimbursements weekly
  • Track all airline tickets to insure adherence to policy, assisting in determining flights and hotel rooms as needed
  • Maintain and confirm employee time clock entries
    • Track PTO for department
    • Track Holiday Pa
  • Maintain and submit for processing to accounting contractors time
  • Record, maintain and process travel incentives each payroll as appropriate
  • Responsible for maintaining spreadsheet to track staff’s equipment provided by ABC
  • Maintain training manuals
  • Maintain office supply orders for department 115
  • Coordinate with the accounting department expense report schedules
  • Review departmental expense reports for policy adherence
  • Train new travel employees on expense policies and procedures
Education and/or Experience
  • High school diploma or equivalent
  • Some college preferred
  • 2 years Administrative experience preferred
Required Skills and Abilities
  • Moderate to advanced knowledge of Word, Excel, Outlook, and PowerPoint
  • Basic knowledge of standard business practices
  • Excellent customer service skills
  • Expresses a high level of energy and attention to detail and professionalism
  • Ability to multi-task and change direction quickly with strong communication and interpersonal skills
  • Strong organization/prioritization skills and the ability to develop and manage a departmental filing system
  • Ability to work independently with little or no supervision
  • Ability to problem solve using deductive reason skills in a timely manner
  • Ability to succeed in a team environment
  • Excellent written and verbal communication skills including punctuation, spelling, grammar, and writing technique
