Position Summary: Performs a wide range of administrative and reception functions in support of a fast-paced government contracting office. Perform difficult and complex assignments for an organization, department, or group of professionals related to preparing correspondence and reports, answering and screening telephone calls, receiving visitors, processing mail, arranging travel, and other assorted clerical tasks.

PC literacy is needed, including basic knowledge of hardware, software, and systems related to assigned work.
Individuals possess and apply a broad knowledge of principles, practices, and procedures of administrative support. They are able to interpret administrative and clerical needs and translate these to administrative support tasks as well as to communicate analytical conclusions and recommended solutions, to write clear and concise work-related documentation, and to establish and maintain effective working relationships with internal and external clients, staff, and management. Errors can cause substantial delay, expense, and inefficiency. Incumbents work under deadlines and may be subject to extreme workloads.
Individuals assigned to this position require limited direction. The ability to communicate well, both verbally and in writing, is needed.
1. Prepares correspondence, reports, memoranda, charts and tables, presentations, and other documentation using a PC and software adopted as standard by ATG or a client.
Gathers research and other background information
Compiles and writes reports and correspondence
Prepares meeting agenda
Proofreads copy to ensure accuracy
2. Answers and screens telephone calls.
Receives incoming calls
Takes and delivers messages timely
Makes appointment for a supervisor and/or team of professionals
Arranges for adequate telephone coverage when not present to take calls
3. Greets visitors.
Maintains visitor log
Directs visitors to appropriate staff member
4. Processes mail.
Opens incoming mail
Processes outgoing mail
5. Arranges travel.
Receives travel requests
Completes travel arrangements and makes reservations
Develops travel itineraries
Receives and processes expense reports
6. Performs related administrative and clerical duties.
Copies and binds documents
Creates and maintains computer-based and paper files
Schedules and maintains Outlook calendar of appointments
Arranges and/or attends meetings, collects proceedings and agenda items, and distributes records to attendees
Performs duties related to the financial and/or operational activities of the organization
Explains requirements of the supervisor to staff members, client representatives, or others as needed
Resolves questions and problems as directed by supervisor
7. Develops solutions to defined administrative support problems. Reports progress on problem resolution to management.
Determines solutions in accordance with administrative policies and procedures
Documents recommendations and actions taken
8. Prepares activity and status reports as required.

9. Provides support to more senior assistants and administrative staff.

High school diploma or GED
Four (4) years of applicable experience, including experience related to assigned work.
Previous experience with Government Contracting
Experience with Deltek Time and Expense Modules
Associate Degree in a Business-related field.
