The Role

Alltech's headquarters-based global marketing team needs an energetic administrative assistant who is excellent at multi-tasking and organization. This dynamic department has the responsibility for the marketing of several multi-million dollar product lines across the globe in cooperation with the company's global sales team.

Working under the supervision of the Senior Vice President of the Alltech Ag Network and the Global Consumer Marketing Manager, the full‐time Administrative Assistant will oversee and manage all office procedures and other tasks as assigned by the supervisors.

Standard duties and Responsibilities
  • Prepare responses to correspondence, including email containing routine inquiries
  • Create and coordinate weekly and monthly reports such as budgets, memos and files
  • Maintain expense reports
  • Data entry/Database management
  • Coordinate all calendar and scheduling activities
  • Coordinate travel arrangements
  • Organize webinars, teleconferences
  • Develop and edit PowerPoint presentations for customer meetings, internal trainings, and product launches
  • Maintain company intranet sites
  • Basic editing, layout and collateral development
  • Work with mailroom on mailings, printings
  • Record and distribute minutes and follow up at team meetings
  • Summarize and distribute relevant articles
  • Interact with clients, vendors and visitors via telephone, email, and in-person
  • Open, sort and distribute incoming correspondence, including faxes and email
  • Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing
  • File and retrieve organizational documents, records and reports.
  • Coordinate and direct office services, such as records, budget preparation, and personnel files
  • May conduct research, compile data and prepare papers for consideration and presentation to supervisors
  • Prepare agendas and make arrangements for meetings and attend as required; record and distribute minutes
  • Maintain confidentiality in all aspects of customer, internal and staff information
  • Any other duties assigned by supervisors

Minimum Qualifications:
  • Bachelor’s degree
  • Three years experience in general office responsibilities and procedures
  • High level computer skills
  • Knowledge of principles and practices of basic office management and organization
  • Ability to work well either alone or as part of a team
  • Previous administrative assistant experience required
