Job Description

If so, t hen join us at Ann Sullivan Organizing , Inc. , where we provide a comprehensive suite of Organizing and Move Management Services to individuals, busy families, seniors, and professionals. Ann Sullivan is looking for a high-energy, entrepreneurial Administrative Assistant who can become a key contributor to the growth and success of her Company.

You must be great at working on your own managing the office, while being a resource for the Owner and her organizing teams out in the field. Most people interaction will be over the telephone, so those who require a lot of face time need not apply.

Essential Responsibilities

In a small business environment like Ann Sullivan Organizing , there are many and varied tasks to be accomplished . From administration to office management and client service, you handle it all .

Answer incoming phone inquiries, gather information, answer questions, provide information about organizing process and rates, and resolve complaints in a professional manner. Schedule follow-up phone calls as needed. Maintain friendly, positive and professional client relations and effectively supports sales and project activities Coordinate monthly staff meeting including scheduling, communication, and preparing meeting minute Maintain companys paper and electronic filing system Manage inventory and ordering of products and supplies for office and clients; manages vendor and affiliate relationships and communications Prepare accounting information for bookkeeper including collecting and verifying time sheets, assigning categories on credit card statements, and entering data in QuickBooks Draft, edit, upload and maintain company policies and procedures manual Sort, open and process incoming mail Arrange business and personal travel for Owner Run frequent business-related and personal errands for Owner (e.g. post office, office supplies, Container Store, etc.) Maintain client information in MS Outlook and QuickBooks as needed including data entry of new clients and updating client notes and records Support client organizing activities by scanning and electronic organizing of documents, list making, etc. Assist with maintaining company website and social media marketing efforts.

Qualifications

Bachelor s degree preferred Considerable experience in general office work including administrative support for small to medium sized teams Must be dependable and punctual Exceptional organizational skills, attention to detail and ability to enter data accurately Demonstrates professionalism, integrity, honesty and strong work-ethic Excellent phone etiquette and verbal communication skills Ability to actively listen, ask questions and understand the needs of Owner, coworkers and clients Strong business writing skills including use of correct grammar, spelling, and punctuation Strong technical skills in MS Word (advanced), Excel, Outlook, and Internet Research. Social media and web savvy. Ability to establish and maintain positive and effective working relationships with coworkers, contractors, vendors, clients and the general public Able to work independently and exercise discretion Familiarity with WordPress and QuickBooks a plus

Additional Information

Working Conditions

Position is part-time, 3 days per week, from 9:30 a.m. to 6:00 p.m. Must be willing to work independently in a small office environment.

$25 / Hour
