This position is responsible for performing a wide variety of general office and secretarial functions in addition to entry level project management functions. Assignments vary in nature from simple and routine to complex and diverse. Work is often performed independently and as a functional, technical or administrative coordinator of office tasks.

Essential Duties

Provide direct administrative support to the engineering team

Perform detailed and occasionally confidential administrative activities requiring independent judgement.

Generate financial cost reports and all operational metrics for the business unit.

Maintain and coordinate business calendars, time reporting, schedule appointments/meetings, and manage travel planning.

Perform general administrative services, mail/fax processing and distribution, file maintenance, ordering supplies, and coordinating payment of invoices.

Support development of presentations, letters, memos, spreadsheets, charts, reports and maintain record of all office documentation.

Entry level purchasing functions such as sourcing or cross-referencing parts between multiple vendors.

Control of general use equipment such as field laptops, cameras and video equipment.

Other duties as assigned.

Required Skills

Required Experience

Thorough knowledge of Microsoft Word, Excel, and PowerPoint.

Knowledge of or ability to learn how to generate cost analysis reports from Oracle database system.

Ability to document and track status of action items for team members.

Seven (7) years of administrative support experience is very desirable with at least 3 years supporting senior management.

Proven self-starter with a high level of motivation, integrity and ability to work independently.

Ability to coordinate, manage, and improve detailed office processes with inputs from multiple sources.

Must be able to plan, organize, and execute duties with minimal supervision.

Ability to organize time and coordinate and track several ongoing projects to meet deadlines.

Educational Requirements

High school diploma required. Associates degree preferred.

Ability to sit and work in front of a computer for majority of the day

Minor lifting of files and/or boxes < 5 lbs

Work Environment

Office environment with occasional time in a warehouse.
