SUMMARY: Under the supervision of an Administrative Officer the incumbent performs various functions in a manner that permits the Officers to spend the preponderance of their time performing the more complex departmental functions. The incumbent's primary accountability is to assist the administrative officers. The Administrative Assistant will act as a liaison to customers and other departmental staff. Also, is accountable for providing clerical services including the preparation of correspondence in final form, directing visitors and callers, maintaining departmental files and records, and producing reports. This position affects the bank's image, internal morale, respect, and external perception of bank integrity.

The Administrative Assistant will be responsible for maintaining confidential customer and department records. The incumbent may also have primary responsibility for the preparation of reports that are submitted to the various department committees and may serve as secretary of formal committees.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Transcribe and type letters, memos, reports, etc. for various personnel in the department.
  • May act for and on behalf of supervisors on many matters that do not require their direct participation.
  • Responsible for accuracy and appearance of finished work of the department to project a professional image.
  • Open, sort, and distribute mail for the department.
  • May initiate and create correspondence or reports of a complicated nature.
  • Establish and maintain personal and confidential business files in an efficient and accurate manner.
  • Make appointments and schedule meetings for department. Maintain supervisor/department's calendar.
  • May act as receptionist for the department, attend various meetings, record, type, and distribute minutes.
  • May maintain policy and procedure manuals for the department.
  • May reconcile various accounts, pay bills etc. for the department.
  • May perform special projects as required by the department.

  • Maintain a high level of cooperation and rapport with all associates in order to ensure accurate and efficient operations and service.
  • Formulate and communicate new ideas and suggestions that will improve profitability and efficiency for the bank's overall operation.
  • Foster and promote the proper bank image at all times.
