An Administrative Assistant is charged with providing clerical support to assigned department by using administrative systems, procedures and policies and monitoring and completing various administrative projects. In this capacity, the Administrative Assistant will be charged with supplying administrative support to assigned management members.
External Job Description - Essential Duties/Functions
Makes travel arrangements for assigned management
Coordinates meeting and conference call arrangements, including coordination of rooms, technical resources and catering for assigned management
Creates and edits all correspondence related to assigned management
Copies and collates reports; scans documents, as needed
Receives and sends correspondence by mail, e-mail and fax
Maintains calendars for assigned Partners and other members of management
Assists with time and expense entry for assigned Partners and other members of management
Interacts with clients in person and via phone
Provides reception and office services relief (i.e. mail/file/stocking kitchens, etc.), as needed
Aids in maintaining the professional appearance of conference rooms and common areas
Additional duties an Administrative Assistant may perform:
Scans and saves workpapers submitted by clients
Drafts engagement letters to clients
Processes and sends tax returns to clients
Manages and monitors GoFileRoom
Assists Office Administrator with obtaining coding and approval for vendor invoices
Processes and mails client invoices
Assists with tax and/or audit scheduling
Other duties as required
External Job Description - Qualifications
Education:
High School Diploma or GED required
Bachelor’s degree preferred
Experience:
Three (3) or more years of administrative experience required
Professional Services experience (public accounting, banking, financial services or legal) preferred
Software:
Advanced level of proficiency in Microsoft Office Suite required
Experience with PeopleSoft Financials preferred
Other Knowledge, Skills & Abilities:
Displays superior verbal and written communication skills, including advanced knowledge of current grammar and punctuation standards
Capable of working and communicating effectively with professionals at all levels
Possesses advanced-level knowledge of popular word processing and administrative programs
Possesses superior customer service skills
Ability to work in a deadline-driven environment and handle multiple projects / tasks with an attention to detail
Ability to successfully multi-task while working independently or in coordination with other administrative or management professionals
Understands and maintains the confidentiality of all information
Ability to effectively utilize multi-line telephone system
