Proactively provide administrative support to the US Producer Services Senior Vice-President as well the GCMC, NEMA and Marketing Vice-Presidents. This role requires the ability to multi-task effectively and to be very good with coordination and communication across the USPS team.

Key accountabilities
Work with the SVP and direct reports of the SVP to run an efficient executive office for the US Producer Services team.

Calendar management - identifying and proactively resolve calendar conflicts of SVP and Houston based direct reports.

Preparation/coordination of all required materials for management meetings and reviews – ensuring pre-reads are distributed within an appropriate time-frame and questions/follow up issues are resolved.

Monitor US Producer Services SVP emails, use judgment and follow up on general emails and keep SVP informed of any urgent/time-sensitive issues.

Assist broader USPS teams with conference room scheduling and appropriate catering.

Plan and coordinate off-site meetings, conferences and customer events.This will include negotiating contracts, managing budgets, tracking expenses/payment of invoices and liaising with customers as needed.

Preparation of email/letter correspondence, reports, presentations and spreadsheets.

Track project/work deadlines and initiate follow-up actions to ensure timelines are met.

Plan and manage travel and expense reports for the SVP and Houston based direct reports.

Seek out ways to improve efficiencies and manage costs within the department.

Provide backup coverage for other Administrative Assistants as needed.

Essential Education
High school diploma or equivalent

Essential experience and job requirements
Minimum of 5 years’ experience providing administrative support in an Executive level setting.

Candidate will have strong planning and organizational skills.

Demonstrated ability to use judgment and independent thinking.

Experience in taking responsibility and accountability for own projects.

Experience handling high volume workload within a fast paced environment.

Ability to handle sensitive information and to exercise and maintain strictly confidentiality.

Adaptable and flexible with work hours i.e. ability to start early/stay late as needed to meet business demands.

Proven experience working in an environment with a high degree of ambiguity and changing priorities.

Applicants should have an intermediate to advanced working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.

Excellent networking and influencing skills across multiple departments/functions.

Demonstrated “One Team” approach to all aspects of work

Other essential skills and knowledge
Strong communication skills, both oral/written.
Must be a self- starter and able to work independently.

Desirable criteria & qualifications
Experience with a large corporation is an advantage.
