CORE CORRESPONDENCE ADMINISTRATIVE ASSISTANT

JOB DESCRIPTION

The Core Correspondence Administrative Assistant is responsible for the day-to-day correspondence of the separately managed accounts business as well as the annually scheduled regulatory/compliance mass mailings.

SPECIFIC RESPONSIBILITIES INCLUDE:
Ø

Hourly monitoring of an electronic mailbox/work bin to retrieve requests from the Portfolio Management Teams, New Accounts and/or Information Technology departments and promptly take action to fulfill the request.

Ø

Prepare requested correspondence, obtain appropriate approvals, package and mail documents to the client and the Financial Advisor within a specified timeframe.

Documents requested may include a New Account Welcome Package, Client Review Books/Presentations, or a general standard merge letter.

o

Preparation of a New Account Welcome Package (a new client’s opening documents), which includes the checking of client information in both the BlackRock and Merrill Lynch systems to ensure all the information pertaining to the client is accurate.

o

Preparation of Client Review Books/Presentations requested by the Portfolio Management Teams and mail to the appropriate addresses, as indicated.

Ø

Request may be for 1 to 100+ books for client meetings.

Ø

Certain requests may require gathering information and creating entire presentations while others may require printing/binding only.

Ø

Prepare performance charts.

o

Prepare standard merge letters, which can range from 1 account to thousands of account letters, from an extensive library of letters.

Ø

Assist Correspondence Manager in the scheduling and processing of regulatory/compliance and management mandated mass mailings.

Ø

Provide support for the Regional Portfolio Management Teams ensuring that all their general and specific correspondence needs are met.

Ø

Assist Local Portfolio Management Teams when their Team Assistants are absence.

Ø

Ensure that all client correspondence is electronically archived/filed into a specific account folder approximately one week after client mailing.

In addition, all correspondence and presentations are logged for tracking purposes.

Ø

Responsible for the morning regulatory mailing of the ADV(b)(2).

REQUIREMENTS INCLUDE:
Ø

Excellent knowledge of Microsoft Word

Ø

Good knowledge of Microsoft Excel and PowerPoint

Ø

Strong interpersonal skills and the ability to work effectively in a team environment.

Ø

Excellent follow-up and organization skills.

Must be detail oriented.

Ø

Ability to handle multiple projects simultaneously.

Ø

Effective in a fast-paced environment.
