Answer all incoming phone calls to the agency with professional, cheerful tone and positive attitude.
Accurately record all incoming calls, including voice mail messages left for any employee.
Assist caller whenever possible. Provide information/resolution to relevant staff member.
Handle all incoming faxes. Distribute to addressee promptly. If addressee not in the office, if possible, handle issue or give to another staff member to handle.
Greet with professional and positive attitude all visitors to the office.
Open, stamp and distribute all incoming mail. Outgoing mail to be stamped and delivered to mailbox by 3:30 pm each day.
Maintain acceptable level of office supplies. As necessary, order supplies from appropriate vendor.
Keep supply area neat and orderly.
File documents on a daily basis. Maintain organized files at all times, including active files, terminated files, marketing files as well as boxed files.
Post all COBRA payments received
Maintain awareness of availability of team members to ensure optimal customer service
Provide support to all members of the agency as needed.
*Bachelors degree preferred
*Previous office experience
*Polite and professional phone etiquette
*Ability to handle multiple tasks simultaneously
