JOB PURPOSE

The role of the

Administrative Assistant contributes to the efficient day-to-day operations of the

U.S Real Estate Finance Division, and supports the work of management and other staff members.

KEY ACCOUNTABILITIES

·

Coordinates manager's schedule and makes appointments

·

Answers and screens manager's telephone calls, and arranges conference calls

·

Arranges and coordinates travel schedules and reservations

·

Prepares expense reports

·

Coordinates and arranges meetings, prepares agendas and reserves and prepares facilities

·

Greets scheduled visitors and escorts them to and from meetings

·

Prepares outgoing mail and correspondence, including e-mail and faxes

·

Orders and maintains supplies, and arranges for equipment maintenance

·

Organizes and maintains file system, and files correspondence and other records

Qualifications

KNOWLEDGE AND SKILLS

·

A minimum of 3 years of Administrative experience in a corporate environment

·

Ability to handle multiple tasks within a very fast-paced financial services company

·

Proficient in Microsoft Word, Excel and PowerPoint

·

Excellent organizational skills

·

Strong communication skills, both written and oral
