Based in Pennsylvania, Cargill Cocoa & Chocolate North America (CCCNA) offers the food industry a wide range of both standard and custom cocoa and chocolate ingredients to be used in food manufacturing, bakery, confectionery, and dairy applications. Our product range includes high quality Gerkens Cocoa Powder, Wilbur Chocolate, Peter’s Chocolate and Veliche Belgian Chocolate. Our facilities in the US and Canada are fully dedicated to produce in accordance with the highest food safety standards.
Position Overview and Principal Accountabilities:
This position will support the Business Unit (BU) Lead with planning, organizing, scheduling of complex administrative activities, and performing administrative tasks. Includes heavy workflow demand and requires thorough knowledge to perform administrative aspects for a complex and fast-paced BU. Ability to work independently, make decisions without complete information is necessary. Work will include travel coordination and meeting planning (both large and small), handle expense reports, event planning, email review and organization, and office management.
45% - General support: Provide support to the Human Resources Department, maintain reports, spreadsheets and Human Resources files. Assist with preparation and dissemination of CCCNA personnel announcements. Participate in preparing Transfer/New Hire/Internship arrangements and on-boarding along with other duties as assigned.
30% - Manage various ad hoc projects and assignments; i.e., create and maintain the anniversary card process, assist with coordination of Company programs at the BU level, participate in Cargill Cares Council, etc. Provide Receptionist Front Desk coverage as needed and perform other tasks as assigned.
10% - Administrative Support: Provide Administrative support to BU Lead including calendar, meeting and email maintenance. Review, prioritize, determine actions for incoming correspondence and calls. Research and assist in resolving highly confidential requests and deal with timely sensitive matters. Create correspondence to distribute internally/externally including coordinating and distributing weekly announcement emails to employees. Screen and proofread communications from BU Lead.
10% - Travel/Meeting Support: Research and finalize travel arrangements under general direction of the BU Lead. Plan, coordinate and ensure logistics for meetings and travel for BU Lead and others upon request. Coordinate, schedule appointments, and arrange conference and meetings. Prepare agenda, notify participants and assembles/distributes necessary materials. Arrange for audio visual meeting support. Distribute menus, compile orders and place food orders with vendor.
5% - Financial Support: Weekly, input expense report information and reconcile on a monthly basis.
High School Diploma or equivalent
Minimum of 3 years of senior level administrative assistance experience
Experience working with employees at all levels of the organization, including senior leaders using tact and diplomacy
Demonstrated ability to execute and problem solve
Proven ability to handle highly confidential, and sensitive information
Proficient computer skills, Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
Ability to work independently, and as part of a team
Strong organizational skills with ability to prioritize, and multi-task
Effective communication skills (written, verbal, and listening)
Proven ability for details, and follow-up; results oriented
