Description

Ocean Transportation (OT) oversees the Corporation's bulk ocean freight business. This involves managing the bulk shipping risks and opportunities both for Cargill's worldwide commodity activity (cargoes such as fertilizer, salt, grains, sugar, steel, crude oil, petroleum products, vegetable oils) and for a large number of third party customers in the mineral, agricultural and petroleum sectors. OT is one of the world's largest bulk charters.

This position is located in our

Teaneck, NJ

office, the hub for Ocean Transportation in the Americas.

Position Role and Responsibilities:
The role of the Administrative Assistant is to manage the general administration of the office as well as to provide support and coordination for events, projects and initiatives within the Ocean Transportation business unit. In addition, office invoicing support and coordination include: events organization (customer or team events, team buildings, seminars, off-site meetings), communication support (SharePoint intranet management, internal meetings logistics and coordination), general administrative support and bookings (bookings, supplies, invoicing), as well as ad-hoc requests.

Principal Accountabilities:
65%

General administrative support

Responsible for ordering and paying for office supplies, including stationery equipment, beverages, various printing requirements, and ensuring a continuous supply stock of these.

Reconcile office invoices and manage purchasing card expenses.

Office cell phone coordinator

Mail management

Responsible for lunch reservations, hotels and venues bookings

Intranet website updates including conference room booking and office calendar

management

Support on travel arrangements for internal and external guests

Managing relations with property management (Sanzari Enterprise) and Cargill Toshoku

15%

Events, communication and initiatives coordination for OT

Internal communication support: ensure latest presentation display, set up recurring global meetings such as Town Hall, Meet and Share, business presentations etc. Liaise with IT services and administrative assistants in other locations on these.

Manage monthly lunch office meetings; calendar booking, setting agenda and compiling recap of the meeting along with ordering food and beverages if required.

Organize events and outings:
Depending on needs, can include; business unit celebrations, team-buildings, offsite meetings and seminars

Customer relations support: visits logistics and gifts

Personal Assistant to Office Manager

Coordinate and manage travel arrangements: searching and booking all the travel for customer visits and/or business unit leadership meetings. Responsible to communicate this information to customers and / or internal peers and handle all changes / amendments to trip schedule.

Handle all expense reports

Provide support on ad-hoc requests: customer lunch / dinner meetings etc

Office Accounting

Issue, reconcile and / or support on intercompany invoices

Working on various tasks and with various people enables the Assistant to get a good overview of the work environment of the business unit, get a high level understanding of the market and develop skills such as multi tasking, communication, resilience, customer focus and team spirit. This is a good position for someone looking for a changing, project/events oriented and non-routine job.

Qualifications

Required

1+ years of experience in a wide-ranging administrative / coordination position

Spoken and written English skills

Service oriented, courteous

Adaptable, quick learner, flexible

Able to deal with last minute changes and requests

Computer literate: MS Office suite essential (Word, Excel)

Ability to multi-task, work under pressure, respect deadlines

Good team player

Proactive and self starter

Strong organization skills

Preferred

College education

Experience in customer support
