POSITION OVERVIEW
To provide administrative and secretarial services to the office of the President and CEO for Carlson and assist in the daily management of departmental operations and procedures.
POSITION RESPONSIBILITIES
To coordinate and implement administrative services and maintain confidentiality which may include, but not be limited to:
Support the Executive Assistant to the President and CEO
Distribute mail and send request for ceasing soft and hard copy junk mail
Provide telephone coverage
Manage lists which include contacts, mail distribution and gifts
Maintain hard and soft copy filing and archiving system
Submit invoices for payment
Complete expense and purchase card reports
Maintain office supplies and kitchen upkeep
Order catering for on-site meetings
Compose drafts and review a variety of routine documents
Gather information and maintain corporate calendar
Provide support for Chair and consultant
Assist with copying, compiling, and distributing board books
Creating mailing list and distribute holiday cards
Assist with event coordination
Perform special projects as assigned
Position Requirements
POSITION QUALIFICATIONS
Education: High school diploma, some college preferred
Demonstrated ability to maintain confidentiality
Must be able to work full time and be flexible
Skills: strong work ethic; self-motivated; attention to detail; ability to organize and prioritize multiple tasks in a changing environment; ability to complete tasks in a timely manner and with little direction; strong verbal/phone and written communication skills; ability to work as a team member; ability to demonstrate customer service skills in a professional business manner
Proficient in Microsoft Word, Outlook, PowerPoint and Excel
Experience: 7 – 10 years minimum office experience supporting a senior executive
