We are seeking an Administrative Assistant based in our New York City office. The individual will provide administrative support to two Senior Vice Presidents. This position requires 2-5 years of experience supporting either a C-level professional or other senior level executive. The successful candidate must have excellent communication skills (both written and verbal), be comfortable working independently, be able to prioritize and multi-task while meeting strict deadlines, and possess the ability to coordinate projects between various departments and other general administrative support.

We are seeking an Administrative Assistant based in our New York City office. The individual will provide administrative support to two Senior Vice Presidents. Job responsibilities included but are not limited to:

Manage daily schedule including heavy Outlook calendar management for both executives.
·
Provide phone coverage and manage all incoming calls promptly and efficiently; meticulous message taking.
·
Manage and maintain contacts and files across electronic platforms (i.e, Outlook, Blackberry, iPad, etc).
·
Prepare and coordinate multi-party conference calls and meetings for managers.
·
Coordinate travel arrangements including airlines, hotel and/or car services.
·
Prepare, track and process all expense reports.
·
Prepare and track internal agent recruitment reports and other related sales metrics; ability to interpret and analyze information in Excel.
·
Create and proofread emails, letters and/or memos.
·
General administrative duties such as filing, faxing, opening mail, shipping packages, etc.
·
Assist with special projects as assigned.
Requirements:
·


Bachelor’s or equivalent degree required; may consider candidates without a degree given applicable work experience
·
2 or more years of related experience in an executive support role.
·
Highly proficient in Microsoft Office Suite (Word /Excel/Outlook/PowerPoint).
·
EXPERT knowledge of MS Outlook and heavy calendar management.
·
Intermediate knowledge of Excel especially formulas and pivot tables.
·
Excellent written and verbal communication skills.
·
Ability to stay focused, efficient, and effective in managing multiple priorities.
·
Professional demeanor and ability to defuse emotional situations in a calm manner.
·
Strong interpersonal skills and sound judgment.
·
Proven ability to work independently with little direction to achieve accomplishments.
·
Ability to communicate effectively with all levels of employees.
·
Ability to provide after hour and flexible support; punctuality and reliability A MUST. The work schedule is Monday to Friday, 9 AM to 6 PM.
