Responsibilities:
  • Answer telephones; respond to messages
  • Maintain calendar; schedule appointments, coordinate meetings and contact caterers (when needed)
  • Make travel arrangements and reservations for lodging and transportation
  • Submit and monitor expense reports and handle any expense issues (through Concur and Finance Dept)
  • Enters guests/clients into Workspeed for security purposes
  • Meets/greets guests at reception and escorts them to appropriate office
  • Order office supplies
  • Schedules conference rooms for client/general meetings (through Meeting Room Management)
  • Set up breakfast and luncheon meetings
  • Inputs new business presentations, contact reports, status reports and memorandums
  • Handle all general office duties (copy, file and fax)
  • Create PTO calendar for team
  • Prepare reports/presentations
  • Provide assistance to other teams when other administrative assistants are out of office
  • Attend and participate in Administrative Assistant meetings
  • May assist on special projects
  • Perform other duties as assigned
