Basic Purpose:
Administrative Assistant to the Mutual Fund Operations Department is to perform a variety of management and administrative tasks in areas such as: meeting organization, attendance tracking, making travel arrangements, managing expense reports, office and space management, and other special projects. The work may be accomplished through direct participation, through the direct supervision of staff, or through indirect, technical supervision. This position will also manage the switchboard operator and cover the switchboard for the primary switchboard operator when necessary: cover early/late hours and breaks when the primary switchboard operator is not on site.

Primary Responsibilities :
Provides oversight and management of switchboard operator, interns, and temporary personnel as needed. Answers switchboard when necessary and covers early/late hours on switchboard, as well as lunches and other breaks. Coordinates coverage of switchboard when the primary switchboard operator is out of the office.

Provides administrative support to the Head of Mutual Fund Operations and the Mutual Fund Operations Department: letter drafting, arranging business travel, submitting expense reports, sorting mail, maintaining and securing client relationships via correspondence, and answering the telephones as needed.

Responsible for the coordination and implementation of department meetings, including scheduling of refreshments and booking rooms.

Coordinates meetings, agendas, and maintains schedules for the Mutual Fund Operations Department.

Assists with filing, both hard copies and electronic copies, for the department, including processing and electronically filing invoices as received.

Orders supplies and equipment. Oversees supplies for copiers/printers.

Assists with various ad-hoc projects as they arise.

Coordinate troubleshooting/repairs with facilities and IT as necessary.

Administer and tracks Mutual Fund Operations Department attendance..

Tracks Mutual Fund Operations Department training and conferences.

Prepares large mailings and UPS mailings, as necessary.

Coordinates the delivery of MBTA passes to the department on a monthly basis.

Job Requirements :
Associates or Bachelors degree.

Strong verbal and written communication skills. Previous customer service skills a plus.

Minimum of 3-5 years of related experience, management experience a plus.

Strong attention to detail and organizational skills.

Must be able to meet deadlines.

Ability to multi-task.

Strong computer skills: Microsoft Office and Outlook. Ability to work on other systems as needed including Documentum and SAP.
