Performs work of an administrative nature. Provide assistance to the facility personnel in administrative areas.
•Relieves facility personnel of various administrative details; coordinates and maintains effective office procedures and efficient work flow; implements policies and procedures set by organization; sort and routes mail and orders office supplies. Assists in creating and maintaining responsible budget practices.
•Maintains TIER system through accurate and timely input of referrals, client demographic, billing, attendance, event and testing data. Compiles, sorts, verifies accuracy of data and keeps records of work completed. Runs and utilizes reports from TIER.
•Compiles information and completes reports as required by contract and subcontract agencies.
•Maintains, confidentiality, accurate client and personnel records.
•Conducts new employee orientation. Guides employees in completing required paperwork. Completes required forms required by Human Resources and insurance carrier.
•Receives and assists visitors and telephone callers and refers them to appropriate person as circumstances warrant.
•Types and formats reports, correspondence, meeting minutes and other documents from originals or drafts, editing for grammar, spelling and punctuation. Confers with originator as required. Maintain follow-up system on reports requiring action on a periodic basis.
•Performs other duties as assigned or as judgment and/or necessity dictates, including preparing up-to-date procedures manual for specific duties handled on the job.
•Reports any acts, incidents, or conditions which reflect the possibility of inappropriate client to client or staff to client relationships.
•Report any use of physical force and all unusual incidents per EYA guidelines.
Education and Experience:
-Education - High school diploma or GED required.
-Experience – Working knowledge of general office procedures and clerical duties. Thorough knowledge of modern office practices and procedures and the use of office machines and equipment. Thorough knowledge of policies and procedures of the organization.
-Skills – Working knowledge of Microsoft Office and email software. Ability to learn quickly and independently with minimal supervision. Effective communication skills and the ability to interact with a diverse group of clients and staff.
-Physical Demands - Sitting for long periods of time. Ability to lift up to 25 pounds. Must be free of communicable disease as defined by the appropriate state and to the extent that knowledge is attainable under federal law.
-Other - Must have appropriate and valid state driver’s license. Must meet state criminal background check requirements.
