Our Silicon Valley office has an exciting opportunity for two administrative professionals to join our team!

BASIC QUALIFICATIONS :

The Administrative Assistant must:

Possess intermediate proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Have a strong sense of customer service, and be well organized with excellent written, oral, and interpersonal communication skills
Have the ability to work efficiently, be solutions-oriented, proactive, and anticipate needs
Take ownership of work and excel in a team environment
Possess strong time management skills, with attention to detail, following through on projects and handling multiple tasks
Have at least 1 year prior administrative experience.

PREFERRED QUALIFICATIONS :

Experience working in a medium to large agency, finance firm, or law firm is preferred

RESPONSIBILITIES :

The Administrative Assistant works closely with and supports the needs of key senior personnel and others in the practice group. Responsibilities include, but are not limited to:

Daily data entry and organize dept. digital files, client files, contacts database and record keeping needs of Practice
Coordinate in-house meetings, including conference room set-up, beverages/food, etc.
Research and compile materials needed for meetings, calls and projects
Conduct basic Internet research as needed
Prepare daily email, occasional mail correspondence & shipment of packages
Coordinate travel arrangements, including rental cars, car services, hotel and meeting room reservations
Assist in scheduling appointments, internal/external meetings, office-wide events
Assist with document production and minor projects, as requested
Order supplies and equipment for designated practice
Communicate equipment requests or issues to IT/Purchasing dept.
Attend staff meetings and internal team meetings, take notes as needed
Complete special projects as assigned
Compute weekly Timesheets, Expense Reports, Purchase Orders, invoices and receipts in a timely manner
Contribute to performance appraisal process for peers and managers

Participate in continuing education classes (Edelman Learning Institute: 24 credits per fiscal year)
