Administrative Assistant - 02628 -
                      • Provide Administrative support to leadership and teams
                      • Manage daily workflow of leaders (SVP, Old Navy Stores and VP, Stores Strategies & Business Solutions)
                      • Manage calendar to maximize leaders’ efficiency: requiring gate keeping, juggling schedules with continual change, making judgment calls; coordinating cross-functional schedules; scheduling meetings and coordinating conference rooms
                      • Make all necessary travel arrangements
                      • Timely processing of expenses
                      • Answer telephone and provide assistance to internal and external callers through immediate information or direction to other outlets for solutions
                      • Prepare and process purchase orders/invoices for payment
                      • Respond to emails and voicemails in a quick and solution-oriented manner
                      • Track and enter personal time off (PTO) for leaders, monitor PTO for team(s)
                      • Stay abreast of organizational changes: updating organization charts, entering data changes in MSS, processing terminations, managing distribution lists, etc.
                      • New hire set-up including on-boarding, ordering IT equipment and ensuring workspace is ready
                      • Coordinate with Territory admins for store visits and large meeting management
                      • Order supplies and office equipment for team
                      • Provide data entry, scheduling, and award coordination support for Focal
                      • Send communications on behalf of leaders/teams
                      • Help with department budget
                      • Provide support with making copies, preparing binders, scanning, faxing, etc
                      • System support & IT liaison – for PC and Mac computers
                      • Attend Admin meetings
                      • Organize and coordinate teambuilding events, Field Leadership Team calls, and meetings
                      • Ad hoc projects, as identified by leaders/teams
