Working Capital Solutions (WCS) is looking for an experienced Administrative Assistant to work in global and fast paced business environment. Role provides administrative support for the WCS Stamford, CT office as part of a team of three. Role is responsible for covering assigned Senior Leadership Team Members (Legal, Marketing, HR) and backup/local support for CEO as well as assisting with office-wide activities and events.

Essential Responsibilities
  • Proactively support Senior Leadership Team members and their teams by independently handling all assigned duties, taking direction from and balancing the needs of multiple staff members:
  • Maintain and coordinate calendars across multiple time zones
  • Monitor phones and relay messages
  • Schedule appointments and meetings
  • Arrange complex global travel schedules and itineraries
  • Process travel expenses
  • Develop and edit PowerPoint presentations; type/edit letters, memos, charts, reports, proposals or other types of correspondence; process contracts, agreements,
  • Ownership of entire process and tracking of Legal invoices using various systems (Oracle, Workflow, Aravo, T360) to receive invoices, maintain PO’s and workflows, edit supplier changes, track payments, etc.
  • Responsible for administrative duties of weekly Executive Committee meetings including managing invites, initiating video conference, collecting and posting meeting material, print outs and distributing minutes and agendas
  • Assist in onboarding new hires/transfers in assigned functions including office space and IT preparation
  • Work as part of local team to ensure backup coverage and share workload
  • Liaise with global site/SLT Admin Assistants as needed for scheduling, travel or event planning
  • Schedule, plan, and organize all logistical details for in-house and off-site meetings and events such as Executive team meetings and customer events
  • Provide general office administrative services including mail and fax processing and distribution, photocopying and office supplies, visitor admittance, and interview scheduling
  • Maintain office operations include handling issues with IT/technology, ordering supplies, receiving deliveries, facilitating with building operations
  • Participate in and support special projects as needed.

    Basic Requirements:
  • High School Diploma or GED and minimum 5+ years executive secretarial/administrative experience.
  • Experience supporting senior team leaders and/or multiple teams simultaneously.
  • Experience with MS Word, Excel, PowerPoint, Outlook and demonstrated ability to learn new systems quickly

  • Advanced skills in GE systems and processes (T&L, sourcing/purchasing, Oracle, Workflow, Aravo, T360, CoLab)
  • Ability to multi-task, independently problem-solve and perform in a high pressure/tight deadline environment
  • Experience planning successful internal and external events/meetings including remote planning
  • Professional, positive, mature, proactive, energetic and ‘can-do’ attitude to assist team and create efficient and friendly office environment
  • Strong team player work ethic: proactively works with others to ensure backup support, help other team members in peak workload times,
  • Able to deal with confidential information, handle issues with sensitivity, and perform duties in discreet manner
  • Responsive: Able to take on ad hoc assignments as needed
  • Highly motivated, confident, able to work without direct supervision.
  • Ability to recognize the business operating rhythm and schedule accordingly
  • Ability to recognize the organization structure and adapt behavior accordingly.
  • Strong self-initiative. Action bias with strong sense of urgency
