The Administrative Assistant will provide administrative support to the General Manager of Energy Schenectady Manufacturing. This includes a wide variety of administrative support activities, which require the handling of business-sensitive and confidential information.

Essential Responsibilities

In addition, you will:
Provide administrative support by developing generating executive level documents, power point presentations and spreadsheets, charts and reports as needed

Manage complex schedules, coordinate meetings with internal and external parties and keep leader on track with time and calendar and handling calendar conflicts

Arrange meetings, meeting logistics and set up, prepare expense reports, complex travel needs, videoconferences and teleconferences

Review and respond to emails and phone calls from other key management personnel across GE as required, using discretion and judgment in gathering and conveying pertinent information in a timely manner

Project a professional impression of the energy Quality Team to customers and internal organizations

Be responsible for the establishment of meeting and agenda priorities, travel schedules and staff meetings

Coordinate leadership reviews & logistics for on-site & off-site team hosted events

Make international and domestic travel arrangements

Utilize internal billing system to create purchase orders, requisitions, process / receive invoices and order supplies / equipment

Use of Accounts Payable services for check requests

Manage P-Card transactions

Organize & manage schedules via Outlook

Reconcile Travel & Living accounts, purchasing card statements and T&L accounts on a timely periodic basis

Handle administrative tasks and processes associated with on boarding new employees

Coordinate meeting minutes development as directed

Publish organization periodic newsletters and/or other communications as needed

Maintain distribution lists

Work special projects as directed


Bachelors of Science Degree from an accredited College or University

Minimum of 8 years of professional work experience

Minimum of 3 years of related work experience

Additional Eligibility Qualifications

Desired Characteristics

Experience in making domestic & international travel and meeting arrangements

Advanced levels of using Microsoft Office tools including Outlook, Word, PowerPoint and Excel (e.g. Embedded Power point slides, pivot tables etc.); build complex excel reports and manage volumes of data

Accurate and attentive to detail, superior writing and editing skills, able to manage multiple priorities and deadlines

Strong interpersonal and communication skills to interface with all levels of management

Willingness to learn and accept work challenges

Familiarity with Oracle based business systems and tools

Demonstrates confidence & self-assurance to deal with people at all levels

Adaptable / flexible – being open to change in response to new information, different or unexpected circumstances, and/or to work in ambiguous situation

Strong telephone manner with strong Customer service skills

Prior office management experience

Professional approach, good judgment, creative problem solver (possessing the personal drive and commitment to implement innovative solution)

Self-starter able to work on own initiative and well in a team environment

High degree of professionalism in both oral and written communication

Extensive follow-up, attention to detail and accuracy

Ability to maintain confidentiality of highly sensitive information

Flexibility with overtime on short notice

Strong organizational, time management and prioritization skills

Resourceful, proactive, assertive, detail oriented, energetic, with flexible attitude

Ability to work well in team environment and to perform under pressure and against tight deadlines

Ability to support multiple projects and balance conflicting needs

Knowledge of GE processes and procedures
