The HNTB Bellevue, WA office has an immediate need for an Administrative Assistant .

Responsibilities:
Supports the Northwest District Sales Manager, and sales team with administrative needs that relate to office proposals and sales, including:
Tracking of Requests for Proposals and Requests for Qualifications (i.e. marketing research – finding potential new work, RFQ’s and RFP’s. Monitoring DJC and client websites).
Organizes and maintains files of correspondence, records, pursuit and proposal records, etc., and following up on pending matters.
Produces variety of correspondence, reports, and presentations using the appropriate software for word processing, graphics and spreadsheets.
Assist the PM’s in keeping Momentum sales database current.
Supports sales related training activities.
Preparing special reports, including the gathering and summarizing of sales data for Quad Reports, Leads & Fees, etc.
Participate in Client Service Team meetings and activities – meeting minutes and distribution.
Participate in Pursuit activities as needed.
HNTB promotional activity support
Weekly report – Summarizing and organizing information for distribution

Supports Officers as needed. Including:
Prepares and processes weekly expense reports.
Schedules and maintains calendar of appointments, meetings, and travel itineraries. Coordinates related arrangements.
Receives and screens telephone calls, letters and visitors as necessary.

This position participates with other administrative staff in the efficient operations of the office. This could include:

Produces variety of correspondence, reports, and presentations using the appropriate software for word processing, graphics and spreadsheets.
Prepares special reports, gathering and summarizing data
Editing and formatting project specifications as assigned by Project Managers.
Working within HNTB applications to perform tasks to support office/departments
Reception phone coverage
Open and distribute mail
Prepare outgoing overnight packages, and courier packages
Miscellaneous projects

Basic Qualifications:
High school diploma or GED required.
At least two years’ experience in an administrative assistant role.
Proficient Microsoft Office skills required. (Word, Excel, Outlook, Powerpoint)
Experience working in an Engineering or Architectural firm is preferred.
