The Administrative Assistant will work with the Therapeutics and Infectious Disease Epidemiology group (TIDE) within the Department of Population Medicine. The TIDE group manages large, complex, national, multi-institutional research initiatives. The Administrative Assistant will be responsible for providing organizational, administrative, and clerical support for several faculty members.
Perform day-to-day general office tasks.
Schedule meetings with external collaborators and funders.
Oversee faculty members’ calendars and maintain their Biosketch, CV and Other Support documentation.
Make travel arrangements for faculty and process travel reimbursements, as needed.
Aid financial team by tracking expenditures for active research projects.
Help build and maintain our library of project reports, tools, and application manuals.
Work on special projects, as needed.
Act as liaison to internal contacts within Harvard Pilgrim Health Care and Harvard Medical School.
Act as liaison with contacts from other organizations, such as universities, governmental agencies, consulting companies, vendors, public health groups, medical societies, etc.
Arrange and coordinate special meetings and events as requested.
Familiarize all new group hires on department procedures and ensure their completion of Human Subject/HIPAA protection training.
Develop and implement TIDE team-building exercises.
Update and edit TIDE information on DPM website.
Associate's degree preferred plus 3-5 years of related experience.
Excellent organizational skills, attention to detail, and ability to operate independently and with good judgment.
Strong interpersonal and written communication skills.
Familiarity and proficiency with computer systems, including word processing, database, and spreadsheet software.
Ability to handle confidential and sensitive information discreetly.
