Department Institutional Advancement Salary Grade 053 Union 55 - Hvd Union Cler & Tech Workers Duties & Responsibilities Reports to the Director of Development; supports the Sr. Principal Gift Officer for the Arts (.5 HAM FTE), Director of Fellows and Membership, and Associate Director of Institutional Advancement, Major Gifts
Perform a wide range of complex and confidential administrative and clerical support duties within a mid-size, team-oriented department. Assist supervisors with correspondence and mailings. Prepare reports and presentations as needed. Maintain and add sensitive information to CAADS (the University’s prospect and donor database), as well as oversee department’s central paper files. Assist in annual appeal logistics and operations. Support and facilitate the activities of the Collections Committee and its annual meeting logistics. Compose, proofread, edit, and prepare memos, correspondence and reports, create copies for files and distribute. Schedule meetings involving multiple parties. Process invoices and requisitions for travel. Research questions for supervisors. Perform duties in support of other Institutional Advancement initiatives as assigned. Work independently and as part of the Institutional Advancement team. Basic Qualifications Two+ years of related experience with proven office administration and customer service skills; strong computer skills (Word, Excel, PowerPoint, email, internet). Additional Qualifications College degree preferred; strong written and verbal communication skills; excellent organizational skills; ability to prioritize; discretion with sensitive or confidential information; accuracy and attention to detail; ability to take initiative, work independently and across teams and with a variety of projects and constituencies; flexibility and adaptability essential; ability to manage multiple tasks in active, high energy department; interest/ background in museums and fundraising preferred. Additional Information This position may require occasional work beyond the regular schedule including some evenings and/or weekends.
