The Administrative Assistant of the Hayden Synchronized Skating Teams Inc. ("HSST") is the primary administrative position of the organization and is responsible for assisting the volunteers and staff by performing administrative jobs independently thus enhancing the organization, its teams, its mission and its financial objectives. The Administrative Assistant reports directly to the Chair of the Board of Directors of HSST. The position will also require working in the evening and weekends. The principal duties of this position include:
Monitor the annual calendar and action item lists to ensure all necessary items are done by the appropriate person in a timely manor
Manage the contracts for travel, ice, and members, including financial agreements and required releases.
Ensure the continuance of team registrations and insurance policies
Provide support for all Board and organizational activities including outreach, fundraising, budgeting, events, and writing/compiling of operation manuals and policies.
Set up meetings and coordinate parents' questions and needs.
Perform routine tasks including picking up mail from the PO Box, maintaining official records and documents, and coordinating and administering the CORI process
Maintain and expand mailing lists for current and alumni skaters and families.
Oversee and perform routine content updates on the HSST website
Assist with the volunteer program which includes close interaction with all current skating families
Collect and review information on programs and funding opportunities with corporations, foundations, other institutions and major donors
Assist with the submission of grants, funding applications and required reporting to existing and potential funding sources.
Assist with final production of marketing and fundraising documents. This would include letters, posters, program books, etc.
Perform any other duties as assigned by the Board Chair.
Since this is a new position, it will be as a temporary position. Initially it will be 20 hours per week and may increase to 40 hours per week. The Salary Range is commensurate with the applicant's experience. The position is not open to immediate family members of current skaters or coaches.
