HealthFitness has a great opportunity for a temporary (1 year) Administrative Assistant at our corporate office located in Minneapolis, MN. As the Administrative Assistant, you will support the On-site Services managerial and professional staff with a variety of office functions that include, but are not limited to data entry, typing, seminar/class schedule coordination, travel logistics coordination, expense management and seminar supply ordering and inventory.

Primary Duties & Responsibilities:
Processes seminar/class orders which includes but is not limited to seminar/class schedule coordination, data entry, pre seminar meeting coordination, and class schedule creation for participant registration.

Develops and maintains seminar/class attendance rosters.

Performs word processing tasks and creates/updates spreadsheets. Develops Power Point presentations as requested.

Places and monitors seminar supply orders.

Coordinates travel logistics for on-call health educators who staff non-local seminars/classes.

Processes expenses for on-call health educators who staff non-local seminars/classes.

Maintains documents on the Seminar’s SharePoint site.

Provides administrative support to the On-site services team.

Other duties as assigned.

QUALIFICATIONS & REQUIREMENTS

Education, Experience and Certifications:
Associate’s Degree in a business related field and two years related experience, or equivalent combination of education and experience.

High School Diploma/GED required.

Other Knowledge, Skills & Abilities:
Strong computer and typing skills including proficiency in Microsoft Office programs including at minimum Word, Excel, Outlook and Power Point.

Knowledge of SharePoint preferred.

Strong interpersonal and customer service skills including the ability to motivate others.

Excellent verbal and written communication skills including spelling, punctuation and grammar.

Close attention to detail.

Ability to effectively organize and prioritize work demands.

Deals effectively with ambiguity and changing processes.

Ability to work effectively with all levels of individuals both within HealthFitness and the client organizations.
