The Executive Administrative Assistant position requires the ability to effectively manage multiple priorities, possess the ability to screen all calls with proper telephone etiquette; Have strong travel and meeting scheduling abilities; and efficient in the processing of expense reports. The individual filling this position must also possess excellent interpersonal and communication skills with the ability to interact with individuals at all levels of the organization, including top executives in a high energy and fast paced environment while exercising good judgment and discretion when handling confidential matters.

This role requires a versatile, self-starting, forward thinking person, who can work in an aggressive and results-oriented environment. The role requires high levels of accountability, aggressiveness, adaptability and maturity. The candidate must be able to understand the fundamental business, screen calls and direct to the appropriate department(s), and support the Fleet Organization including the remarketing of used equipment. This position is based at our Park Ridge, New Jersey global headquarters.

Provides general administrative support including managing the Vice President’s schedule, preparing and distributing meeting and reporting materials, coordinating and communicating various departmental activities, purchasing, order processing, records management and various duties. Maintains good relationships with internal and external contacts. Disseminates communication and information to all levels. Responds to inquiries and requests with a sense of urgency and strong customer service mindset.
Perform special projects in limited scope independently as requested. Take general requests and be able to produce a meaningful, finished analysis with minimal review or supervision. Communicate results, recommendations and findings to management.
Ensures compliance with all policies and procedures. Manage special projects to ensure successful completion. Projects to include team communications, special events, performance reporting activities and business reviews.
Responsible for department correspondence, presentations and reports and communications. Manages, writes, and edits organizational communications.

Mandatory Requirements:
Educational Background:
College degree preferred; High school diploma required

Mandatory Requirements:
5 to 7 years of previous Administrative Assistant experience of increasing responsibility
Ability to set priorities and multi-task
Must have maturity and confidence to work with senior management
Must have demonstrated ability to handle multiple tasks simultaneously
Must demonstrate the ability to communicate effectively in both written and oral format with all internal and external contacts.
Must be able maintain the highest level of confidentiality and have the ability to handle sensitive material concerning the organization and the executive’s role.
Must have the ability to meet critical deadlines, keen attention to detail
Must have ability to plan, organize, develop, implement and interpret functional area programs, goals, policies and procedures.
Must possess in-depth knowledge and proficiency of office systems including Lotus Notes, MS Office, Word, Excel, PowerPoint and use of internet.
Must possess exceptional organizational skills (scheduling, detail orientation, proactive follow-up and overall project management, multi-tasking).
Ability to confidently interface with executive management.
Ability to handle pressure
Handling of both inbound and outbound correspondence via mail, fax, email, phones.
Experience in booking travel arrangements, coordinating group meetings, and familiarity with frequent traveler programs and expense reports.
Successful experience in event planning, coordination, execution, and post event activities.
Flexibility in regards to work schedule and responsibilities.
